Terms and Conditions

Payment

Payment should be made via BACS or via bright immersive Ltd chosen online payment service. BACS payment instructions will be displayed on the payment screen using the online booking form. Your place will not be guaranteed until the full fee has been received by the stated payment cut-off. If you have any problems with the payment process, please email workshops@brightimmersive.com or call us on 020 37732998.

Booking deadlines

For workshops run and managed directly by Bright Immersive Ltd, we will accept bookings until we have reached the maximum number of participants or until midday on the last working day prior to the start of the workshop, whichever occurs first. If you are booking close to the date of the workshop, please contact bright immersive Ltd by phone or email to workshops@brightimmersive.com to ensure your payment has been received and that you are on the register. Where workshops are being delivered by bright immersive Ltd on behalf of another organisation, the booking should be made directly with the organisation. If you are in any doubt, please email workshops@brightimmersive.com or call us.

Age restrictions

To give everyone the best workshop experience, participants must be 16 years or over.
Our workhop leaders are DBS checked.

Equality

We want our workshops to be accessible to everyone and we are committed to supporting anyone requiring reasonable adjustments. We kindly ask participants who may require adjustments or may have any other special requirements to notify bright immersive Ltd at the time of making the booking (using the form or via email or phone). This will ensure we are able to review and modify the course activities, accordingly. Where bright immersive Ltd is delivering a workshop on behalf of a partner organisation, that partner is required to collate and inform bright immersive Ltd of any reasonable adjustments that may be required at least three working days prior to the event, to ensure adequate time to make the adjustments. While bright immersive Ltd will do its best to accomodate reasonable adjustments on the day, it does not accept any responsibility or liability for any failure to make reasonable adjustments where this information has not been formally communicated to bright immersive Ltd.

Participant Cancellations

Should you wish to cancel or postpone a workshop delivered by bright immersive Ltd, please do so in writing via email to workshops@brightimmersive.com.
There will be no charge if the notice to cancel or postpone is received 10 working days prior to the date of the workshop.
If the cancellation or postponement notice is received within 10 working days, then the client will be required to pay a 50% cancellation fee of the total cost.
If notice to cancel or postpone is received less five working days prior to the course date, the cancellation charge will be 100% of the total cost.
If you cannot attend a course, but you are able to provide a substitute to take your place then no charge will be due.
In the unlikely event that bright immersive Ltd is required to cancel a workshop, then any deposit will be fully refunded and an alternative date offered on the next available course.

Workshop Cancellations & Changes

Depending on the venue, to make the workshop viable we will require a minimum number of confirmed participants to cover the running costs. This is stated on the workshop description. If a course does not achieve a minimum number of bookings we will aim to give you at least five working days' notice and you will have the option of a full refund or a transfer to another course, at a later date. We reserve the right to make changes to courses such as moving the venue (within reason) or changing the start times. If a workshop has to be cancelled for whatever reason, such as illness, it will be rescheduled.

If no reasonable day or time can be identified then a refund will be issued for that workshop.

Health & Safety

Before each workshop a full health and safety briefing will be provided to ensure everyone uses the equipment safely and understandings the play areas in the room. Failure to follow health and safety instructions may mean that you cannot participate in certain activities. Virtual Reality can sometimes cause people to experience symptoms of motion sickness. Use of the VR head mounted displays (VR HMDs) or VR / 360-video viewers is entirely optional. Should a participant feel unwell, it is their responsibility to cease using the VR HMD or 360 viewer and inform the workshop moderator. All the VR content used during the workshops is commercially avaialble and rated by Oculus as "Comfortable" or "Moderate". In the unlikely event that a participant feels sick as a result of using VR, bright immersive Ltd accepts no liability for any sickness or nausea that may affect their ability to participate in the workshop. Participants agree to conduct themselves in an appropriate manner. If a participant is disruptive and/or complaints are received from other customers, or an individual is preventing the workshop moderator from delivering the workshop, then a warning will be issued. If the behaviour continues, the disruptive participant will be asked to leave, without any refund or compensation.

Force Majure

Bright Immersive Ltd is not liable for failure to deliver the workshop if such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane or other natural disaster), war, invasion, act of foreign enemies, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalisation, government sanction, blockage, embargo, labour dispute, strike, lockout or interruption or failure of electricity or telephone service.

Your privacy is important to us. With your agreement, we will use your personal information to keep in touch with you in the run up to the workshop to ensure that you have everything you need to get the most from the workshop.
